Project Guidelines

  • Weatherproofing: The site must be fully weather-tight for optimal installation conditions.
  • Entrance & Windows: The main entrance door should be securely locked, and all windows must remain closed.
  1. PRE-WORK REQUIREMENTS
  • Heating & Plumbing: Any underfloor heating should be operational, and all plumbing should be complete.
  • Kitchen Installation: Ideally, kitchen units should be installed prior to flooring to prevent issues with the wood's natural movement and to protect warranty coverage.

 

  1. BEGINNING OF WORK

  • Sub-Floor Requirements: The sub-floor must be dry and level within ±3mm over a 3m straight edge. A £500 charge applies if sub-floor does not meet standards upon our arrival.
  • Clear Site: The installation area should be free of tradespeople and materials.
  1. LEAD TIME & WARRANTY

  • Lead Time: Lead time is specific to each product and will be confirmed upon receipt of the deposit. Standard lead times typically range from 14-16 weeks.
  • Warranty Impact: Warranty coverage may be affected if the necessary preparatory steps are not completed prior to our team’s arrival.
  1. FLOOR CARE AND MAINTENANCE

  • Annual Oil Application: Apply clear maintenance oil annually to ensure longevity.
  • Natural Variations: Wood is a natural material, so expect variations in colour and grain. Samples provide a guide only.
  1. ADDITIONAL PRODUCT INFORMATION
  • Grading and Board Lengths: Packs contain various board lengths, with shorter boards used at row ends for visual appeal.
  • Acclimatization: Wood should acclimate for 2-3 days in occupancy-like conditions.
  • Underfloor Heating: Follow specific guidelines for underfloor heating compatibility.
  1. CHANGES AND COMMUNICATION
  • If any changes or delays arise, please contact our office immediately. Do not arrange adjustments directly with on-site workers.
  1. COMPLETION INSPECTION
  • Upon completion, the client or an authorized person must inspect the work. A digital completion form will be provided by the fitter in charge. If no one is present to sign the form on completion day, it will be considered completed on the client's behalf.
  1. ON-SITE MEASUREMENT SERVICES
  • Architectural Drawings: We recommend clients provide drawings for accuracy. We can perform scans if drawings are unavailable.
  1. CALCULATION TERMS
  • Timberzone is not responsible for client-provided area miscalculations. Extra square meterage incurs additional charges.
  1. TERMS FOR MATERIALS & SERVICES
  • Documentation: Timberzone is only responsible for items clearly outlined in the invoice or email. Verbal agreements are not binding.
  • Additional Work: Any additional work must be pre-approved with our office.
  1. PROTECTION OF THE FLOOR AFTER INSTALLATION
  • For protection, cover installed floors with “buffalo paper” and a robust material like Corex. However, please note that laying Corex directly on top of new flooring without proper ventilation may impact warranty coverage. Avoid taping directly onto floors to prevent condensation damage.
  1. PAYMENT TERMS
  • Deposit Structure: 60% on booking, 20% on delivery or commencement, and the balance upon completion.
  1. QUOTATION VALIDITY
  • Quotes are valid for 30 days; please request an extension if needed.
  1. OTHER SITE AND INSTALLATION REQUIREMENTS
  • Furniture and Personal Items: Ensure rooms are cleared before fitters arrive. Breakables and personal items are excluded from moving services.
  • Parking Permits: Arrange permits as needed to avoid parking fees.
  • Site Protection Options: For post-installation protection, we recommend Florliner FR or Breatha-bord. Avoid coverings over active underfloor heating.
