Project Guidelines Timberzone

 


Please review all site preparation and installation requirements

These project guidelines outline Timberzone flooring installation requirements, including site conditions, subfloor preparation, acclimatisation, delivery access and client responsibilities. Please read them carefully before confirming your installation date.

Weatherproofing and Site Security

The site must be fully weather-tight to ensure optimal installation conditions.
The main entrance door should be securely locked.
All windows must remain closed throughout the duration of the works.

Pre-Work Requirements

Heating & Plumbing: Any underfloor heating systems must be fully operational, and all plumbing works must be completed.

Note: There is no requirement for kitchen units to be installed before flooring.

Beginning of Work

Sub-Floor Requirements: The sub-floor must be dry and level within ±3mm over a 3m straight edge. A £500 charge will apply if these standards are not met on arrival.
Clear Site: The work area must be fully clear of tradespeople, tools, and materials.
Confirmed Start & Site Readiness: Once a start date is confirmed, the site must be ready on that day. If our team arrives and cannot begin work, a day rate charge will apply.

If the project is cancelled on the day after the team arrives, charges equivalent to the full estimated number of installation days may apply.

Lead Time & Warranty

Lead Time: Lead times are product-specific and will be confirmed once the deposit is received. Standard lead times are typically 14–16 weeks.
Warranty Impact: If required preparation steps are not completed before our team’s arrival, this may impact your product warranty.

Floor Care and Maintenance

Annual Oil Application: To maintain durability, apply clear maintenance oil once annually.
Natural Variations: Wood is a natural material. Variations in grain and colour are normal; samples serve as a guide only.

Additional Product Information

Grading and Board Lengths: Each pack contains various board lengths. Shorter boards are used at row ends to enhance visual layout.
Acclimatisation: Wood should be left to acclimate on-site for 2–3 days in ambient, lived-in conditions.
Underfloor Heating: Ensure all underfloor heating systems are installed in line with Timberzone’s UFH compatibility guidance.

Changes and Communication

If any changes or delays occur, contact Timberzone’s main office directly. Please do not instruct on-site workers independently, as this can lead to miscommunication or voided agreements.

Other Site and Installation Requirements

Furniture & Personal Items: Ensure all rooms are clear of furniture and breakables before the fitters arrive. Timberzone is not responsible for moving fragile or personal items.
Parking Permits: Clients must arrange all parking permits in advance to avoid delays or additional fees.
Site Protection Options: For post-installation protection, we recommend Florine FR or Breathe-bord.
Avoid placing any covering over active underfloor heating systems.

Sanding & Sealing Special Conditions

Pre-Heating: For any sanding and sealing works, the property must be pre-heated in advance. Ambient, stable conditions are essential to ensure proper curing and adhesion.

Doors & Windows: All windows and external doors must be fully installed and kept closed during the sanding and sealing process to prevent temperature and moisture fluctuations.

Furniture Clearance: All furniture must be completely removed from the rooms. Workspaces must be empty and free of obstructions to allow safe use of sanding machines.

Skirting Boards: If skirting is already installed before sanding, please note light edge sanding marks may appear. These may require repainting after works are completed. Timberzone is not responsible for re-painting or touch-up work.

Edge Sanding: A specialist edging machine is used around the perimeter. Light marks on skirting or wall bases are normal and unavoidable.

Staining Disclaimer: When applying stains, the colour may differ slightly across boards due to natural wood grain and absorption. Exact colour matching is not guaranteed, especially when blending old and new boards.

Board Replacement: Where boards are replaced, please note that old and new wood may react differently to sanding or staining. A perfect colour match is not possible.

Finish Types: After sanding, clients may choose between:
Lacquer: A protective surface layer with low maintenance.
Oil: A natural finish that penetrates the wood and may require periodic maintenance.

Completion Inspection

Upon completion, the client (or an authorized representative) must inspect the work.
A digital completion form will be issued by the lead fitter.
If no one is present at completion, the form will be signed by the fitter and deemed accepted on the client’s behalf.
Even without a physical signature, the project will be considered complete if the client was not on-site to carry out the final inspection as attendance is part of the client’s responsibility.

On-Site Measurement Services

Architectural Drawings: Providing architectural drawings ensures accurate measurements.
If no drawings are available, Timberzone can perform on-site scans.
If drawings or accurate information are not provided, Timberzone cannot be held responsible for omissions in the quotation. Any forgotten or excluded items will still be chargeable if required to complete the job.

Calculation Terms

Timberzone is not responsible for inaccurate area calculations provided by the client.
Any additional square meterage required will be charged at the agreed rate.

Terms for Materials & Services

Documentation: Timberzone is only responsible for delivering items specifically listed in your invoice or official emails. Verbal agreements are not valid.
Additional Work: Any extra work outside the original scope must be pre-approved by our office.

Protection of the Floor After Installation

Use breathable “buffalo paper” and a robust layer such as Corex to protect the floor post-installation.
Do not lay Corex directly on the floor without airflow, as this may trap condensation and void your warranty.
Never tape coverings directly onto flooring.

Payment Terms

Supply-Only Orders:
100% payment is required upfront before delivery or collection can be arranged.
Supply & Installation Orders:
50% payment is required upfront to confirm the order and secure installation dates.
The remaining 50% is due upon completion of the installation.

Quotation Validity

Quotes are valid for 30 days from the date issued.
If more time is needed, please contact our office to request an extension.
